Clarksville Youth Enrichment Programs Policies

Prices listed below reflect cash/check pricing.
Credit card convenience fees are as follows:
Spend $1-$140= $5.00 fee
Spend $141-$199= $7.00 fee
Spend $200 and up= $10.00 fee

By registering/making payment, you agree to the following terms:

Enrichment Programs:

– During the school year, students register for eight or nine-week sessions available August-May.  There are four sessions available for each program throughout the year, each of which offers new instruction and curriculum.  Please note that some specific programs are semester-long as indicated in their descriptions.

– Classes are offered Monday, Tuesday, and Thursday from 4:00pm-5:00pm or 5:00pm-6:00pm.  Some classes are available at alternate times.  Wednesdays are available by appointment.  You may choose the time slot for which you prefer to register, availability of time slots will fill on a first come/first served basis, and classes will meet weekly in your chosen slot.

– Due to the cumulative nature of programs, students may not switch from the program for which they are registered during the session as they may miss valuable concepts, projects, or challenges involved in the program.

– Absences during the course of a program are non-refundable, non-transferrable, and cannot be made up.

– Payment of $160 is due in advance for the eight-week program or  $180 for the nine-week program. Supply lists are given out at registration (if applicable).

– Program dates are available upon registration in order to note days in which CYEP is closed due to holidays.

– Clarksville Youth Enrichment Programs follows the local school system holiday schedule but does not operate on the CMCSS Snow Day closing schedule.  In the event programs are cancelled due to weather, a decision will be made by 1:00, and attendees should check the Facebook page or call 920-0003 for this information.

Cancellations/Refunds:

Cancellations will be accepted, less a $25 cancellation fee per program, a minimum of two weeks in advance of the program for which a student is registered.  The program fee will be refunded minus the cancelation fee per student.  Cancellations not made a minimum of two weeks in advance are non-refundable and cannot be transferred to another student or session.

Maximum/Minimum Enrollments:

Space is limited in all courses and waiting lists are formed as necessary.  Courses operate on a self-supporting basis and require a minimum enrollment in order to run.  If the minimum is not met, it may be necessary to cancel the course.  In this instance, full fees are refunded.  In addition, many courses are multi-leveled and will contain students of various grades and ages.

Tutoring:

Payment for tutoring is required one week in advance of the scheduled session.  Private, scheduled tutoring is $37.50 for one hour of tutoring in the area(s) of your choice.  Four sessions are scheduled at a time totaling $150.  Tutoring sessions occur a minimum of once a week.  Cancellations require 24 hours’ notice from the scheduled session in order for payment to be transferred.  Time slots cannot be guaranteed without payment, and each school year begins a new schedule of time slots, as no schedules can be guaranteed from school year to school year.  Scheduling for each new school year will begin mid July.  While we strive to maintain consistency with your child and a specific tutor, circumstances beyond our control may dictate changes.  If a tutor is absent, a substitute will be notified and given curriculum for the session.  Continual cancellations will result in the loss of credit upon cancellation and could also result in the loss of the appointment slot and/or the discontinuation of services.  No refunds are issued for cancellations, but a credit can be issued and remain on account for one year.

ACT Prep:

An 8-class 10-hour course, each session is designed to maximize quality learning time and is priced at $45/hour, totaling $450 for the course.  Summer pricing may differ.  Scheduling and payment is requested one week prior to the start of the session for the first four consecutive classes ($225).  A second payment for the remaining sessions will be requested after the first three classes are complete ($225).  These sessions are held in a small group setting of no more than 6 students.  Absences during the course of a program are non-refundable, non-transferrable, and cannot be made up.  Cancellations will be accepted, less a $25 cancellation fee per program, a minimum of two weeks in advance of the program for which a student is registered.  The program fee will be refunded minus the cancelation fee per student.  Cancellations not made a minimum of two weeks in advance are non-refundable and cannot be transferred to another student or session.

Individual ACT Prep is also available for those students who cannot make the group session dates and times. Individual ACT Prep is scheduled by appointment, is an 8-session course and is priced at $70/hour, totaling $560 for the course.  Cancellations require 24 hours’ notice from the scheduled session in order for payment to be transferred to another date.  No refunds are issued for cancellations, but a credit can be issued and remain on account for one year.  No guarantees are made for any specific ACT Prep results. 

Summer ACT Prep is $50/hour or 8 sessions, totaling $400 for the program.

Summer Enrichment Programs:

Summer enrichment programs consist of 60 minute daily classes offered in two-week sessions.  Payment is requested in advance of the desired two-week session.  Payment for daily summer classes is $200 for two weeks for the first program and $185 for each additional program; applicable only to the same child.

Students are highly supervised in all programs and precautions are taken for safety. Due to the nature of some enrichment programs, students may incur greater risk for accident (ie. sewing, rocket science, etc.). By registering, you assume all risks associated with these programs and release any claims, damages, and liabilities arising from your child’s participation in an enrichment program.

Cancellations/Refunds:

All summer program refunds incur a $100 cancellation fee per student and can be given up to 2 weeks prior to the start date of the program for which a student is registered.  The program fee will be refunded minus the cancellation fee per student.  Cancellations not made a minimum of 2 weeks in advance are non-refundable and cannot be transferred to another student.  Absences during the course of a program are non-refundable, non-transferrable, and cannot be made up.  Due to the cumulative nature of programs, students attend one program per two-week session and may switch to another program after the completion of the two-week session.

Maximum/Minimum Enrollments:

Guidance Services: 

Payment for Guidance Sessions is required one week in advance of the scheduled session or on the date of the last paid session.  Private sessions are $45 for one hour of focused time.  Four sessions are scheduled at a time totaling $180.  Guidance sessions occur a minimum of once a week.  Cancellations require 24 hours’ notice of the scheduled session in order for payment to be refunded or transferred.  More than 2 cancellations a month could result in the loss of the appointment slot and/or discontinuation of services.  No refunds are issued for cancellations, but a credit can be issued and remain on account for one year.  *Please note that Guidance Services are NOT offered as medical therapy services but rather as general counseling opportunities.

Health/Sickness Policies:

It is our utmost goal to help keep our students healthy.  For this reason, we ask that you please not bring your child to class if they are running a fever or have been vomiting in the past 24 hours.

Credits:

All credits on file will expire after one calendar year.
